Refinr ("we", "us", "our") operates refinr.xyz and provides AI automation services to businesses. This policy explains what personal information we collect, how we use it, and the rights you have over it.

Who is the data controller
Refinr is the data controller for the personal information collected through this website and our services. You can contact us at contact@refinr.xyz.
What information we collect
We collect information in three ways.
Information you give us
- When you submit our free audit form: business name, website URL, industry, the challenges you select, your name, your email, and any optional competitor URLs you provide.
- When you book a call: name, email, the time you choose, and any notes you add.
- When you email us directly: your email address and the contents of your message.
Information collected automatically
- Standard web logs from our hosting provider, including IP address, browser type, device type, referring page, and the pages you view.
- Privacy friendly analytics about how the site is used, such as the pages visited and the country you visited from. We do not use these analytics to identify individual visitors.
Information from clients we work with
When we build automations, websites, or AI agents for a client, we may process personal data belonging to that client's customers on their behalf. In those cases, our client is the data controller and we act as a data processor under a separate agreement.
How we use your information
- To prepare and deliver your free audit.
- To respond to enquiries and deliver the services you request.
- To run, maintain, and improve our website and services.
- To send service related messages, including booking confirmations and project updates.
- To send occasional marketing emails about new services or relevant case studies. You can unsubscribe at any time.
- To comply with legal obligations.
Legal bases for processing
Where UK or EU data protection law applies, we rely on the following legal bases.
- Consent, when you submit the audit form or opt in to marketing.
- Contract, when we need to process information to deliver a service you have engaged us for.
- Legitimate interests, for example to keep the site secure, analyse usage in aggregate, or follow up on an audit request you submitted.
- Legal obligation, where the law requires us to keep records.
How long we keep your information
We keep audit form submissions and enquiry emails for up to 24 months from the last interaction, then delete or anonymise them. Client project data is retained for the duration of the engagement and for up to 6 years afterwards to meet tax and accounting requirements. You can ask us to delete your information at any time.
Who we share your information with
We do not sell your information. We share it only with trusted providers who help us run our business, including hosting, email delivery, calendar booking, customer support, and analytics. Each provider is bound by confidentiality and data protection terms. We may also share information when required by law or to protect our rights.
International transfers
Some of our providers are based outside the UK or EU. When personal information is transferred internationally, we rely on safeguards such as the UK International Data Transfer Agreement, EU Standard Contractual Clauses, or equivalent measures.
Cookies
We use a small number of cookies and similar technologies to keep the site working, remember your preferences, and understand how the site is used in aggregate. You can control cookies through your browser settings. Blocking cookies will not stop you using the site.
Your rights
Depending on where you live, you have the right to access, correct, delete, restrict, or port the personal information we hold about you. You can also object to processing or withdraw consent at any time. To exercise any of these rights, email contact@refinr.xyz.
If you are in the UK or EU and believe we have not handled your information properly, you can complain to your local data protection authority. In the UK that is the Information Commissioner's Office (ICO).
Security
We use reasonable technical and organisational measures to protect your information. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
Children
Our services are not directed at children under 16 and we do not knowingly collect their personal information.
Changes to this policy
We may update this policy from time to time. The effective date at the top of the page will always reflect the latest version. If we make material changes, we will let you know by email or a notice on the site.
